Practical tool for choir directors
Choir Packing List for International Travel
A good choir packing list protects the things that matter most: passports, concert attire, music, medication, essential personal items and the materials your ensemble needs to perform confidently away from home.
Use this guide as a practical reference. Adapt it to your choir, destination, airline rules, performance requirements and the official information for your trip.
Before anyone packs
Separate personal luggage from choir essentials
Carry-on essentials
Anything that would seriously disrupt the trip if lost should travel in carry-on luggage whenever airline rules allow.
Checked luggage
Clothing and replaceable personal items can usually go in checked baggage, within airline limits.
Choir materials
Assign responsibility for music, folders, banners, small equipment and other shared materials instead of assuming someone will bring them.

What should never depend on checked baggage?
Checked luggage can be delayed. Directors should identify the items the choir cannot reasonably replace before a performance and decide what should travel in carry-on luggage.
Concert attire: pack it as if you may sing before your suitcase arrives
For international choir travel, it can be wise to protect at least the essential parts of performance attire. The exact strategy depends on the ensemble, airline baggage allowance and concert schedule.
Directors should also confirm footwear, accessories and appearance expectations before departure, so singers are not trying to solve uniform problems in another country.
Music materials
Decide in advance whether the choir will travel with printed scores, digital scores or both. The conductor should keep the definitive performance material accessible.
For Choral Fest Costa Rica, participating choirs should also keep the current Common Songs available for rehearsals and collective singing.
Do not overpack group equipment
International group travel becomes harder when every possible rehearsal or performance item is transported. Bring what the choir truly needs and confirm local arrangements before carrying bulky equipment.
A simple director system
1. Individual list
Send every traveler the same personal packing checklist.
2. Shared equipment list
Assign each choir item to one named person.
3. Final check
Review documents, music and concert attire before departure day.
Frequently asked questions
Choir Packing List FAQ
What should singers pack for an international choir trip?
At minimum: travel documents, concert attire, music materials, essential medication, personal necessities and items required by the choir or destination.
Should concert clothes go in carry-on luggage?
When practical and permitted by the airline, keeping essential performance items accessible can reduce the risk caused by delayed checked luggage.
Who should carry shared choir materials?
Assign each shared item to a specific traveler or staff member before departure.
Should singers bring printed or digital music?
Follow the conductor's plan. Some ensembles use one format, while others keep a backup version of critical scores.
What should not be packed without checking airline rules?
Liquids, batteries, large equipment, musical accessories and other restricted items should be reviewed against the airline and airport rules before packing.
