What the festival package includes

The package covers the official festival dates and brings together the essential services required for coordinated participation.

Included in the official package

  • Lodging during the official festival dates, according to the confirmed room occupancy arrangement.
  • Half board according to the confirmed itinerary.
  • Shared internal transportation connected to official festival activities.
  • Professional guide support.
  • Festival logistics, coordination and participation in the official program.
  • Copyright licenses for the common repertoire used in collective workshops.
Additional nights, tours and services are subject to availability and additional cost. They are confirmed only when they appear in the written proposal accepted by the choir.

Rest and daily organization

Lodging and half board

Lodging is organized in hotels selected by the festival according to availability, delegation size and the occupancy arrangement confirmed in the proposal.

Half board is included during the official festival dates according to the confirmed itinerary. The exact meal schedule is coordinated with the program so that singers can participate in rehearsals, concerts and transfers with adequate planning.

  • Rooming lists must be submitted within the period communicated by the organization.
  • Single, double, triple and special occupancy requests are subject to availability and may affect the final cost.
  • Dietary information must be communicated in advance and is handled according to hotel and service-provider availability.

Internal mobility

Shared transportation for official activities

The package includes shared internal transportation connected to the official festival program. Routes and departure times are organized collectively so that participating delegations can move between the confirmed hotel, rehearsal spaces, concert venues and official activities.

  • Transportation is based on the official itinerary and confirmed group schedule.
  • Delegations must follow the departure times communicated by the logistics team.
  • Private or exclusive transportation is not part of the base package unless it is included in the written proposal.
  • Transportation for optional tours or additional dates is calculated separately.
Airport arrangements: Juan Santamaría International Airport is the principal arrival airport. Arrival and departure transfers are organized as a group.

Mandatory singer minimum

Participating choirs must include a minimum of 16 singers. The choir director and accompanying travelers do not count toward this artistic minimum.

The director serves as the principal artistic and organizational contact and receives the official communications for the ensemble.

Family members and supporters may join the delegation when included from the beginning and confirmed in the participation proposal.

The final number of travelers must be confirmed within the deadline communicated by the organization. Changes after confirmation are subject to availability and may affect the total cost.

Accepted choirs formalize participation with a deposit equal to 30% of the participation package. The remaining payment schedule, deadlines and applicable conditions are detailed in the official written proposal and participation terms sent to the ensemble.

Essential costs and logistics information

What does the official package include?

It includes lodging during the official dates, half board, shared internal transportation for official activities, professional guide support, festival logistics and copyright licenses for the common repertoire used in collective workshops.

Is international transportation included?

No. Airline tickets and other international transportation to or from Costa Rica are not included.

What is the mandatory minimum group size?

Each participating choir must include a minimum of 16 singers. Directors and accompanying travelers do not count toward this minimum.

Can family members or supporters travel with the choir?

Yes. They must be included in the delegation information so their lodging, meals, transportation and cost can be calculated correctly.

Can the choir arrive earlier or leave later?
