Choir Travel Readiness Survey for International Trips

A choir travel readiness survey helps directors answer one of the most important questions in international travel planning: who is genuinely able to travel?

“I would love to go” is valuable, but it is not the same as having the dates available, a valid passport, financial readiness, family support or permission to be away from work or school.

This practical survey helps choir directors identify obstacles early, estimate a realistic delegation size and decide which participants need additional support before major travel commitments are made.

If your choir is still working through approvals, first review Getting Your Choir Approved for International Travel .

Why a Choir Travel Readiness Survey Matters

Early in the planning process, directors often ask:

“Who would be interested in traveling?”

That is a useful first question, but it does not provide enough information for budgeting, rooming, transportation or participation planning.

A singer may be interested and still face one or more barriers:

  • No passport.
  • Passport expires too soon.
  • Work leave has not been approved.
  • School or university dates conflict.
  • Family approval is still pending.
  • The estimated cost is difficult.
  • Fundraising is needed.
  • A companion may need to travel.
  • Accessibility or dietary planning is required.
  • The complete travel dates are not yet available.

Finding these issues early gives the choir more time to solve them.

Interest Is Not the Same as Readiness

Think of participant planning in stages.

Interested

The participant likes the idea and wants more information.

Potential Traveler

The participant is seriously considering the trip but still has practical questions to solve.

Travel Ready

The participant has resolved the major personal barriers and can move toward commitment.

Confirmed Traveler

The participant has completed the choir's required confirmation and financial process.

These stages should not be treated as interchangeable.

When Should Directors Use the Survey?

The survey is especially useful after the choir has received enough information to understand the proposed destination, travel period and preliminary financial expectations.

It can be used:

  • After an initial choir presentation.
  • After a parent meeting.
  • Before requesting a detailed group proposal.
  • Before assuming a final number of travelers.
  • Before major deposits or airfare decisions.
  • Again later in the process to measure progress.

Use the Choir Trip Planning Timeline to coordinate this survey with the broader planning process.

Do Not Collect More Personal Information Than You Need

A readiness survey is a planning tool, not a medical or financial investigation.

Directors should avoid requesting unnecessary sensitive information.

For example, rather than asking:

“What medical condition do you have?”

an early planning survey can simply ask:

“Are there accessibility, dietary or travel considerations that may require advance planning?”

Detailed information can be collected later through the appropriate confidential process when genuinely necessary.

How to Interpret the Results

Do not turn the survey into a complicated scoring system.

A simple four-category model is often enough.

Ready

Strong interest, dates appear possible and no major unresolved barrier has been identified.

Needs Action

The participant wants to travel but has a specific issue to resolve, such as work leave, passport renewal or fundraising.

Uncertain

More information or personal discussion is needed before the participant can make a realistic decision.

Not Ready Yet

A major barrier currently makes participation unlikely, but circumstances may change later.

Create an Action List, Not Just a Headcount

The most valuable result of the survey is not simply:

“We have 27 interested singers.”

A more useful result looks like this:

  • 18 participants appear ready.
  • 4 need employer approval.
  • 2 need passport renewal.
  • 5 need clearer cost information.
  • 3 are interested in fundraising support.
  • 2 have possible family-date conflicts.

Now the director knows what needs attention.

Follow Up Individually When Needed

Not every issue should be discussed with the entire choir.

When a participant identifies an obstacle, the director can follow up privately and ask:

  • What information would help?
  • Is there a deadline for resolving this issue?
  • Does the choir need to provide documentation?
  • Is fundraising information needed?
  • Is the participant still realistically considering the trip?

The goal is not to pressure people into participating. It is to make the planning numbers more reliable.

Using the Survey for Choral Fest Costa Rica 2027

Choirs considering the 10th Edition of Choral Fest Costa Rica for Peace can use this survey during their internal planning process.

The festival takes place in Costa Rica from June 23–27, 2027.

Those are the official festival dates. Each choir should confirm its own complete travel dates, including arrival and departure, before treating individual availability as final.

Directors can review:

Internal choir readiness does not itself confirm participation in Choral Fest. The festival's participation process remains separate.

What Directors Should Do Next

  1. Share preliminary trip information.
  2. Use the readiness survey.
  3. Separate interest from realistic availability.
  4. Identify the main barriers.
  5. Give participants time to resolve them.
  6. Update your estimated group size.
  7. Continue with detailed planning only when the numbers become more reliable.

Continue with the International Choir Travel Checklist when your group begins moving toward detailed preparation.

Frequently Asked Questions

What is a choir travel readiness survey?

It is a practical planning tool that helps a choir director understand which participants are realistically able to travel and which obstacles still need to be resolved.

When should a choir use a travel readiness survey?

Use it after participants have enough preliminary information about the trip to evaluate their availability, documents, financial situation and other major considerations.

Should a director count everyone who says they are interested?

Not as confirmed travelers. Interest is an important first indicator, but a realistic group estimate should also consider dates, passports, permissions, finances and other practical barriers.

What should be included in a choir travel readiness survey?

Useful topics include interest level, travel dates, passport status, work or school permissions, parent approval when applicable, financial readiness, companions and major obstacles.

Should the survey ask for medical information?

Avoid collecting unnecessary sensitive information during an early planning survey. Ask only whether accessibility, dietary or travel considerations may require advance planning, and collect detailed information later through the appropriate process when necessary.

Can this survey be used in Google Forms?

Yes. The questions on this page can be adapted for Google Forms, Microsoft Forms or another survey system used by the choir.

Does completing a readiness survey confirm participation in Choral Fest Costa Rica?

No. The survey is an internal choir planning tool. Choral Fest Costa Rica has its own application, proposal and confirmation process.
