Welcome to Choral Fest Costa Rica for Peace. These Terms and Conditions explain the general rules, responsibilities, and conditions for choirs, conductors, singers, companions, visitors, and participants who use our website, submit information, apply to participate, or take part in festival-related activities.
By using this website, submitting a form, registering a choir, or participating in the festival, you agree to these Terms and Conditions.
1. About the Festival
Choral Fest Costa Rica for Peace, also known in Spanish as Festival Internacional de Coros Costa Rica por la Paz, is a non-competitive international choral festival held in Costa Rica.
The festival brings together choirs, conductors, singers, cultural institutions, communities, and audiences through concerts, workshops, cultural exchange, community experiences, and shared songs dedicated to peace.
The purpose of the festival is not to rank or award choirs, but to create a meaningful human and musical encounter where voices come together to promote peace, respect, cultural understanding, and connection.
2. 2027 Festival Dates
The 2027 edition of Choral Fest Costa Rica for Peace is scheduled to take place from:
June 23 to June 27, 2027
The festival program, venues, schedules, activities, and artistic details may be adjusted when necessary due to logistical, artistic, institutional, weather-related, technical, safety, or force majeure reasons.
Any relevant updates will be communicated through the official website or by direct communication with registered participants.

5. Non-Competitive Nature
Choral Fest Costa Rica for Peace is a non-competitive festival.
Choirs participate to share music, learn, connect, and contribute to a message of peace. The festival does not operate as a contest and does not rank choirs against one another.
The organization may provide acknowledgments, certificates, or recognitions, but these do not represent competitive awards or rankings.

7. Program, Venues, and Schedule Changes
The festival may include concerts, workshops, community experiences, rehearsals, common songs, cultural activities, institutional visits, and other artistic or educational events.

8. Repertoire and Artistic Requirements
Choirs may be asked to submit repertoire information before the festival, including titles, composers, arrangers, approximate duration, and performance needs.
The organization may provide general artistic guidelines, including performance duration, common songs, or thematic suggestions related to peace, culture, and human connection.
Each choir is responsible for ensuring that it has the right to perform its selected repertoire and that its musical materials comply with applicable copyright or licensing requirements.
9. Fees, Costs, and Logistics
Participation costs, packages, inclusions, exclusions, payment deadlines, and logistical details may vary according to the choir’s country, size, needs, travel plans, and selected activities.
Any fees, deposits, payment conditions, cancellation conditions, or logistical responsibilities will be communicated directly to the choir director or official representative.
Unless specifically stated in writing, the festival organization is not responsible for international airfare, passports, visas, travel insurance, personal expenses, medical expenses, additional meals, private transportation, or costs not expressly included in the agreed festival arrangements.
10. Travel Documents, Visas, and Insurance
Each participant, choir, director, companion, or visitor is responsible for verifying and obtaining all required travel documents, including passports, visas, permits, insurance, and any immigration or health-related requirements.
The festival organization may provide invitation letters or supporting information when appropriate, but it cannot guarantee the approval of visas, entry permits, travel authorizations, or immigration decisions.
Participants are strongly encouraged to obtain adequate travel insurance, medical insurance, and cancellation insurance.
11. Minors and Youth Participants
Choirs traveling with minors are fully responsible for obtaining all necessary parental permissions, travel authorizations, supervision arrangements, emergency contact information, and legal documents required by their country of origin, transit countries, and Costa Rican authorities.
The choir director, institution, school, parents, guardians, or official chaperones are responsible for the safety, supervision, behavior, transportation, medical needs, and documentation of minors under their care.
The festival organization does not replace the legal or supervisory responsibilities of parents, guardians, institutions, or choir leaders.
12. Conduct and Respect
All participants are expected to act with respect, kindness, responsibility, and cultural sensitivity.
The festival is built around peace, human dignity, cooperation, and musical connection. Discriminatory behavior, harassment, violence, abuse, threats, hate speech, damage to property, unsafe conduct, or behavior that affects the well-being of others may result in removal from festival activities without refund or compensation.
Participants must also respect venues, churches, schools, institutions, audiences, volunteers, staff, local communities, and other choirs.
13. Health, Safety, and Responsibility
Participants are responsible for their own health, belongings, personal safety, and medical needs.
The festival organization will make reasonable efforts to coordinate safe and meaningful activities, but participation in travel, concerts, workshops, transportation, community experiences, and public events may involve risks.
By participating, each person accepts responsibility for their own participation and agrees to follow instructions from the festival organization, venue representatives, transportation providers, and local authorities.
14. Photography, Video, Audio, and Media Authorization
The festival may take photographs, videos, audio recordings, interviews, testimonials, and other media during concerts, workshops, rehearsals, community experiences, institutional events, and festival activities.
By participating in the festival, participants authorize Choral Fest Costa Rica for Peace to use images, recordings, names of choirs, names of directors, testimonials, and festival-related media for documentation, promotion, educational, historical, cultural, archival, press, social media, and communication purposes.
This authorization may include use on the official website, festival app, social media platforms, printed materials, press releases, presentations, videos, and future promotional materials related to the festival.
Choirs traveling with minors are responsible for obtaining the necessary permissions from parents or legal guardians for the use of images and recordings.
15. Personal Data and Communications
When users submit forms, contact the organization, apply to participate, or communicate with the festival, they may provide personal information such as names, email addresses, phone numbers, country, choir information, travel details, and other relevant data.

Nothing in these Terms and Conditions is intended to exclude rights or responsibilities that cannot be excluded under applicable law.
